Sharing an Outlook email folder with another person is not the same as delegating access, where a person can respond to messges and invitations on your behalf.  If delegation is required, please refer to Office 365 delegations information in myCommunity for assistance.

 

Granting access to your mailbox

 

1. Your Outlook mailbox is located at the top of your email folders, and has the name firstname.lastname@rmit.edu.au

2. Right click the mailbox and then click Folder Permissions

3.  The mailbox properties will be displayed.  Click the Permissions tab.

4.  Click Add... to select a person to grant access to.

5. Search for the person in the Global Address List, then click Add -> to select the person.  Click OK.

6. Click None from Permission Level: and choose the appropriate access level for the person.

Granting access to your mailbox

 

1. Right click the folder you wish to grant access to, and then click Properties...

2.  The folder permissions tab is used to set the access permissions for the person.  Repeat steps 4 to 6 to set access.

3. Repeat the above steps to add access for another person.

 

Opening a shared folder

 

Once the folder permissions are set, the person who the folders are shared with needs to add the mailbox to their profile, as a secondary mailbox.  A secondary mailbox will appear in Outlook in the list under their own mailbox.

 

1. Go to File > Info > Account Settings > Account Settings...

3. Click More Settings...

4. Click the Advanced tab, the Add... to select the person who owns the folder you've been granted access to.

5.  Click OK.

 

Access the person's folder

 

1. Click the triangle to the left of your mailbox name to minimise your folder list

2. The other person's mailbox will be displayed as a secondary mailbox in your Outlook screen.

3. Click the person's mailbox to view the folders that you have been granted access to.
